The Company:

A DIFC registered and DFSA regulated entity, providing Investment Management and Corporate Advisory services to Professional Clients.

The Role:

The Front Desk Manager will be responsible for the management of the Firm’s reception, general employees’ affairs and the over-all office environment.

Major Responsibilities:

  • Managing the front desk, Answering and directing calls to appropriate executives and parties, taking messages.
  • Greeting visitors and determining access to appropriate parties.
  • Responsible for the over-all office environment maintaining it as a safe, healthy and adequate place for the work requirements.
  • Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment.
  • Managing meeting rooms’ availability and reservations.
  • Managing Employee and their dependents visa issuance, renewals, transfers and cancellations.
  • Management of employee admin data folder.
  • Manages employee affairs including printing of business cards, additions and withdrawals from the company’ health insurance policy, marking attendances and leave day count, attire in adherence with company policies and procedures.
  • Management of employees building/office access, parking space..etc.
  • Managing incoming and out-going mail and logbook. Opening, sorting, and distributing correspondence, including email, faxes, post.
  • Custodian and manager of petty cash.
  • Procurements including office and kitchen supplies, stationary, furniture, flowers and hardware.
  • Follow up for vendor’s month end statements (e.g. Telecommunications, Travel Agents, Courier Services) submit to finance department, follow up for timely payment and receipts.
  • Manage the time schedule of the Public Relations Officer and Office Clerk.

Qualifications & Desired Skills:

  • Professional degree
  • Minimum 3 years' experience in a similar role within the UAE
  • Previous DIFC experience preferred 
  • Polished and Professional
  • Integrity with a stable work background.
  • Effective time-management skills with the ability to prioritise
  • Detailed-orientated and outstanding quality assurance
  • Proven management experience with excellent planning skills
  • Strong negotiation skills and ability to manage/ develop relationships at the highest level.
  • Strong communication skills; both written and spoken.
  • Flexible and handles stress well
