The Company:

A small Family investment office

The Role:

To be the main point of contact and project manager for all personal and business aspects. Freeing the Chairman’s schedule and time so that he can focus on the more strategic aspect of his role. As well as providing full administrative support.

Major Responsibilities:

  • Handling all details of the current and future business and personal projects. Create a robust time management system, to follow up on all delegated tasks ensuring maximum use of time.
  • Responsible for the Company’s systemized filing system on Sharepoint ensuring all folders are organized, managed, updates and easily accessible for all projects and investments.
  • Running all administrative related tasks of ongoing and new projects.
  • Manage, coordinate and maintain calendar of Chairman including appointments, meetings and travel.
  • Responsible for organising of internal and external meetings on behalf of the Chairman ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, prepare agendas
  • Regular and timely follow-up on all deliverables with key stakeholders.
  • Ensuring efficient handling of all personal requests and projects.
  • Management and maintenance of all properties.
  • Responsible for day to day office management functions of Administration, HR, and IT requirements in the Office.

Qualifications & Desired Skills:

  • Professional degree
  • Minimum 5 years' experience as an Office Manager / Executive Assistant with a stable work background
  • Able to build rapport and trust at C Level and with busy executives.
  • Flexible approach to working hours and day, able to support the CEO in the evenings/ weekends if required
  • Effective time-management skills with the ability to prioritise
  • Detailed-orientated and outstanding quality assurance
  • Proven management experience with excellent planning skills
  • Strong communication skills;
  • Flexible and handles stress well
