Position:
Executive Assistant / Personal Assistant to the Chairman and Family
The Role:
This is an intensive, high-responsibility Executive Assistant / Personal Assistant hybrid role supporting the Chairman and his family. There are no “fixed hours” here — flexibility, discretion, and calm under pressure are essential. The role blends business and personal support, often including managing complex private travel and family logistics.
Major Responsibilities:
• Full management of the Chairman’s calendar, contacts, and emails (Outlook)
• Comprehensive travel coordination: flights (commercial and private jet), hotel bookings, visa processing, and detailed itineraries
• Organize private jet charters and related logistics globally
• Secure entertainment bookings (restaurants, events, leisure activities) throughout the year
• Oversee day-to-day office operations, ensuring absolute confidentiality at all times
• Schedule and coordinate meetings, prepare agendas, and provide all briefing materials
• Liaise independently with internal and external stakeholders including clients, government bodies, and service providers
• Ensure the Chairman is fully briefed ahead of meetings and events
• Draft, review, and summarize correspondence and decision requests for swift action
• Manage expense claims and maintain meticulous executive filing and data management systems
• Conduct research and prepare reports or briefing documents as needed
• Support the family with personal needs such as schooling, gifts, scheduling, and household matters
• Prepare documents, presentations, and reports (Word, Excel, PowerPoint)
• Provide transcription and document typing support
• Any additional duties as assigned to keep the ship sailing smoothly
Qualifications & Desired Skills:
• Bachelor’s Degree or equivalent professional qualifications
• Minimum 10 years of experience in a senior EA/PA role, with a stable work history
• Strong C-Level support experience; able to quickly build trust and credibility
• Absolute flexibility with working hours, including evenings and weekends when needed
• Well-versed in luxury travel, entertainment, and lifestyle services
• Sharp time management and prioritization skills
• Meticulous attention to detail and a perfectionist attitude toward quality
• Exceptional planning, organizational, and multitasking skills
• Excellent verbal and written communication skills
• Ability to remain calm, composed, and effective under pressure
