Company A leading Architectural Design Firm.
Location Dubai-UAE
The Bid Manager’s primary role is to assist and support the Bid Director in the tender/ bidding process and the selection and negotiation process of sub-consultants.
Immediate Reporting Relationships:
- Reports to Managing Director
- The following staff positions report to the Bid Manager: Bid Coordinator
Duties and Responsibilities include:
- Reviews EOIs and RFPs from clients and provides a summary of the project brief, scope of services, and submission requirements.
- Prepares and/or issues RFP tender queries to clients.
- Coordinates with clients regarding RFP tender queries.
- Prepares, issues, and/or reviews bid and tender proposal submissions.
- Prepares RFP project brief and scope of services for sub-consultants/ specialists.
- Issues RFPs to sub-consultants/ specialists.
- Provide advice and guidance on RFPs’ scope of services and requirements for sub-consultants/ specialists.
- Coordinates with and responds to sub-consultants/ specialists’ queries during the bidding and tender process.
- Forwards client contracts (provided in RFPs) to the Commercial Director and/or Contracts Administrator for review and comments.
- Forward the project brief, the scope of services, and the program (provided in RFPs) to the Project Director and Executive Director of architecture for their review and comments.
- Prepares cost analysis and summary of sub-consultants/ specialists’ proposals.
- Coordinates the Managing Director and/or the BD & Operation Director to discuss and finalize fee proposals.
- Prepares, issues, and/or reviews responses to clients’ post-tender clarifications and submissions.
- Prepares and/or issues project handovers to the project management team, design team, and contracts team, upon receipt of notice of project contract award from the Managing Director or the BD & Operation Director.
- Assists and/or facilitates the selection and negotiation process of sub-consultants/ specialists during project execution design stages.
- Assists and/or facilitates in issuing notifications of awards (via email) to selected sub-consultants/ specialists during project execution design stages.
- Other duties and tasks as may be required, assigned, and/or instructed by the Bid Director.
Specific Responsibilities/ Tasks
Responsibilities/ Tasks – Lead & BID Projects:
RFP Received:
- Call
- Requests Extension of Time.
- Sends Client RFPs to our Design, Commercial, and Project Teams for their review and comments.
- invites Subcons to participate.
- Prepares scope of work to be shared with the Subconsultants, for approval of the Bid Director.
- sends RFIs to clients.
- Attends site visit, if required.
- Prepares Offer (Program, Scope, Resources)
- Prepares Offer (Contractual)
- Prepares the Price Analysis
- Prepare our Offer (Fees) for the Managing Director’s approval.
- Sends the combined Offer to the Commercial Team for QAQC.
Project Handover from BID to Design & Project Team:
- Sends letters of regret to unsuccessful bidders.
Letter of Regret received from clients:
- Informs Subconsultants as required.
Responsibilities – Design Projects:
- Preconcept Design
- Assists and facilitates the commencement of the Soil Investigation process, such as floating RFPs and negotiations.
Concept Stage (Architectural)
- Assists and facilitates appointing Rendering Company processes, such as floating RFPs and negotiations.

Skills and Experiences:
- Good leadership, interpersonal, organizational, and management skills.
- Good working knowledge and understanding of consultancy tender and bidding process.
- Good and effective communication (written and verbal) skills in English.
- Proficiency in other languages (Arabic, French, etc.) is an advantage.
- Proficient in basic computer and software (MS Office – Word, Excel, Outlook, PowerPoint) skills.
- Proficiency in project management software (MS Project, Primavera) is an advantage.
- Working knowledge of design, drafting, and BIM (Building Information Modelling) software (AutoCAD, Revit, Sketchup) is an advantage.
- Bachelor’s degree in architecture or engineering preferred, relevant advanced degree or postgraduate degree is an advantage.
- +12 years of professional experience in architecture, engineering and consulting industry.
- +2 years of relevant significant experience in design consultancy tender and bidding process is an advantage.
